Who this is for
This guide is for anyone who needs spoken words turned into text: an owner who wants notes from sales calls and staff meetings, a consultant interviewing clients, a coach recording sessions, a podcaster who needs show notes and captions, or a team that wants training videos to be searchable.
There are two kinds of tools here. Meeting tools like Otter join your video calls and write notes as you talk Otter pricing ↗. File tools like TurboScribe and Sonix take a recording you already have and return a transcript TurboScribe pricing ↗ Sonix pricing ↗. Some do both. Think about which you need most before you pick.
If you need a transcript that will stand up in court or be published word for word, you still want a human to check it. Rev sells that as a service Rev pricing ↗.
Why you should trust us
We read each vendor's pricing and feature pages, checked every price and free plan limit on October 9, 2026, and read independent reviews, including Zapier's April 2026 roundup, which tested 68 transcription apps Zapier review ↗, and user reviews on Trustpilot Trustpilot, Otter ↗. Every fact links to its source.
We have not yet tested these tools hands on. Hands on testing is in progress, and we will update this guide with results, including accuracy on the same set of business recordings with accents, crosstalk and background noise. Until then, our picks rest on vendor documentation, independent reviews and user reports. No vendor paid for placement.
How we picked
We started with about a dozen well known transcription and meeting note tools and dropped those aimed only at large enterprises or developers. Then we compared what each one gives you for free and for about $10 a month, because most small businesses transcribe a few hours a month, not hundreds.
Accuracy matters most, but every vendor claims to be accurate, and few publish how they measure it. So we leaned on independent testers and user reports, and gave credit to tools that offer a human checked option for the moments that need it.
- Accuracy as reported by independent testers and users
- A real free plan or a no card trial
- Fair price for a few hours a month
- Languages and speaker labels
- Exports to Word, PDF and caption files
- Meeting bots or file uploads, depending on the job
- Privacy options such as data deletion or a BAA
What AI transcription can and can't do today
With clear audio and one or two speakers, modern AI transcription is very good and very fast. Tools now label speakers, add timestamps, translate into dozens of languages and write summaries and action items Otter pricing ↗ TurboScribe features ↗ Sonix pricing ↗. Several are built on large speech models such as OpenAI's Whisper TurboScribe features ↗.
It still struggles in predictable places: crosstalk, heavy accents, poor microphones, background noise, and names or industry terms it has never heard. Even happy Otter users on Trustpilot say some transcripts need significant editing Trustpilot, Otter ↗. Custom vocabulary features help with names and jargon; Otter's free plan allows five custom terms Otter pricing ↗, and Sonix has a custom dictionary Sonix pricing ↗.
For anything that will be quoted, filed or published, plan to proofread or pay for a human pass. Rev and Happy Scribe both sell human checked transcripts with 99 percent accuracy claims Rev pricing ↗ Happy Scribe pricing ↗.
Before you sign up
Ask permission before you record. Federal law allows recording with one party's consent, but the Digital Media Law Project counts eleven states that require every party's consent, including California, Florida, Pennsylvania and Washington DMLP recording law ↗. When a meeting bot joins a call, tell people why it is there.
Check where your recordings go. Recordings of client, patient or employee conversations are sensitive. TurboScribe says it stores files encrypted and lets you delete your data TurboScribe features ↗. Sonix offers a business associate agreement on Enterprise Sonix pricing ↗. If you handle health information, get a signed BAA before you upload anything.
Match the plan to your minutes. Free plans have hard caps: 300 minutes a month on Otter Otter pricing ↗, three files a day on TurboScribe TurboScribe pricing ↗, 45 minutes a month on Rev Rev pricing ↗ and one hour a month on Descript Descript pricing ↗. Track a normal month of recordings before you pay.
- Use a decent microphone and record each speaker clearly
- Add names, products and jargon to custom vocabulary
- Tell participants you are recording and why
- Check data deletion and BAA options for sensitive recordings
- Proofread anything you will quote or publish
- Start on monthly billing until you know your usage
What to look forward to
Transcription is turning into a starting point rather than the product. Otter already lets you chat with your past conversations and push notes into Salesforce and HubSpot Otter pricing ↗, and it offers an MCP server so other AI tools can read your transcripts Otter pricing ↗. Rev now handles more than 37 languages on its Pro plan, including Spanglish Rev pricing ↗.
We expect tools to get better at mixed language conversations, noisy rooms and industry jargon, and to do more with the text automatically, such as filing notes in a CRM or drafting follow up emails. We will update this guide as those features arrive and as our hands on testing finishes.
